Freight Coordinator
New Brighton, MN - Bell Lumber & PoleJOB PURPOSE
The primary function of this position is responsibility for loads moving in and out the local plant, paper work process for all truckers, and communications to other dispatchers, customers & truckers. Export paperwork and processes.
ESSENTIAL JOB DUTIES
Shipping-Truck:
- Create Bill of Ladings for ALL (Poles, TSO, Other) shipments leaving local yard.
- Prepare all paperwork for drivers for each load; including, special instructions, maps, phone number, staking sheets.
- Make phone calls to customers 24-48 hours prior to shipment leaving the yard. Or customer requested lead time.
- Responsible for making sure all shipping information is accurate, getting driver’s signature, document the load ticket # in system & correct date on BOL.
- Forwarding copy of BOL to customers who require them when the shipment leaves the yard.
- Working with managers on shipping dates etc. for outbound loads.
- Responsible for all export paperwork & border crossing Papers Company wide, working with vendors and freight forwarders to combine loads for shipment to the port, obtaining proper documents such as treating certificates and phytosanitary certificates required prior to export.
- Complete understanding of all the export requirements for each load as it pertains to out of the county shipping process.
- Process outbound loads to Canada and send paperwork to Customs and resolve any issues with customs broker.
Shipping-Rail:
- Create Bill of Ladings for all rail shipments leaving local yard. These must be created online.
- Forwarding copy of BOL to customers who require them when the shipment leaves the yard. ·
- Complete understanding of the rail paperwork required. ·
- Can go after rail rates and negotiate competitive rates. ·
- Understand and dispute rail demurrage.·
Communication:
- Freight Coordinator will be the main contact with all the trucking calls. All calls from dispatchers will flow through this desk.
- Work with manager on delivery of back orders & maximizing our trucks to capacity on those loads.
- Update various customer websites with shipped orders.
- Update customers on weekly on open orders, getting information on processed orders from the yard manager.
- Ensure that product is in stock and ready for customer pick up.
Receiving:
- Receives all paperwork from the drivers on shipments that are received. Process all receiving reports in the SOP.
- Work with receiving yard employee to make sure all receiving reports have been filled out for inbound railcars.
- Insure that there is a proper yard receiving report matches the incoming BOL and original notification.
- Forwards all that information on to the Inventory person.
Freight bills:
- Audit truck/rail freight bills with respective b/l so that invoice can be paid.
Miscellaneous:
- Any other responsibilities that are deemed necessary by management.
- Phone backup when necessary.
- Attending daily shipping meetings as needed.
JOB QUALIFICATIONS
Education:
- Minimum Requirement High School Diploma or equivalent.
- Community college or technical diploma an asset.
- Fluent in English
Experience:
- Minimum Requirement is 5 years proven logistics/dispatch experience.
- Minimum Requirement is 3 years proven in Export processes.
- Proficient in Microsoft Office Suite
- Knowledge of lumber shipping and or forestry product shipping.

- Demonstrates interpersonal oral communication skills by speaking clearly and persuasively in positive or negative situations. Written communication skills are clearly written with the audience identified and the message defined in an understandable format.
- The ability to communicate routine technical needs and requirements to non-technical staff in understandable terms
- Ability to think out of the box.
- Must have the ability to use interpersonal skills to build rapport and relationships using diplomacy and tact. Have the ability to diffuse even high tension situations to drive to a comfortable result.
- Can negotiate skillfully by settling differences and can win concessions without damaging relationships. Can be direct and forceful as well as diplomatic.
WORK ENVIRONMENT/PHYSICAL DEMANDS
To perform the duties of this job, the employee is required to use the computer for long periods of time in a sitting position. This position will require periods of phone work.
